THE EMPLOYER:
Our client is a prominent Shanghai-based law firm licensed in PRC that has entered into a strategic alliance with an international law firm with a network of more than ten offices in the United States and Europe.
The firm is staffed by more than 30 professionals and support staff and headed by two reputable partners, both of whom were selected by Asia Legal Business as “China’s Hot 30 lawyers”.
DUTIES & RESPONSIBILITIES:
To provide professional secretarial support for the managing partners, in specific, it includes,
- Document produce work, including typing, formatting, daily correspondence drafting and meeting notes’ transcribing, etc.
- Maintain Partner’s diary, arranging meetings and travels
- Post timesheets on a daily basis
- Coordinate with Records Management for proper organization and maintenance of client files
- Follow-up with the supporting lawyers for submission of expense reports for both travel and daily expenses
- Prepare billing statements and back-up materials, maintain payment records, and send follow-up letters, when necessary
- Provide mail and copy/fax service and record with appropriate client billing information when necessary
- Maintain updated attorney profile information so that, should the need arise, substitute secretary is able to efficiently handle daily office requirements
- Provide some legal assistant support, including preparing court filings, pleadings, and ensure proper docketing; assist with ad hoc projects as required, carry out relevant research etc as appropriate
REQUIREMENTS:
- Previous secretarial experience in a legal environment, preferably 5+ years
- University diploma or equivalent; additional related education helpful
- Excellent Word processing skill, typing speed over 70 wpm; the ability to take audio typing will be a plus
- Good English language skills in both writing and speaking
- Excellent interpersonal communication skill, client services skill and organizational skills; Able to handle various tasks at same time and prioritize duties as necessary
- Basic understanding of business math.
