THE EMPLOYER:
Our client is a Washington DC-based law firm. It has a broad practice in the areas of regulatory law, litigation, and business transactions, serving both domestic and international clients.
The Shanghai office was established in 2004.Currently, the firm’s Shanghai office is looking for Office Manager to manage and supervise the office administrative matters.
DUTIES & RESPONSIBILITIES:
Administration:
- Work closely with the Shanghai Office Chief Representative and the Firm’s Administrator (located in Washington, DC) on all Shanghai office administrative matters
- Assist the Chief Representative with administrative and secretarial assistance
- Renew annual Shanghai office business license and organization code certificate; preparing documentation and submitting to the Bureau of Justice
- Supervise Shanghai office insurance plans and contract with American Insurance Assurance
- Renew Chief Representative’s China work permit and family residence license
Accounting:
- Work closely with the Firm Administrator and Controller and Chinese Accountants for Chinese Business and Income Tax filings; assist with annual audit; coordinate records between Chinese Accountants and Shanghai office local bookkeeper
- Responsible for Shanghai office banking accounts
- Assist Chief Representative and Firm’s Accountants with IIT filings
- Oversee Shanghai office cost controls and prepare Shanghai office annual budget, working closely with the Firm Administrator
- Renew Shanghai office Tax certificate with local tax bureau
- Report to Washington, DC office Accounting Department on all financial matters
Human Resources:
- Assist Chief Representative with office professional and support staff hires; recruit and train office support staff; participate in salary surveys
- Conduct new hire orientation and training programs
- Coordinate with Chinese HR agent re local payroll, including social insurance and Chinese employee individual tax filing
Office Facilities and Strategic Office Expansion:
- Work closely with Chief Representative and Firm Administrator in office expansion plans; working with local architects and real estate brokers in any new office lease
- Coordinate with building management regarding office premises
- Assist with office moves
- Negotiate with local vendors and service providers for purchase and maintenance of office furniture and supplies
Marketing:
- Establish co-operation with Chinese Industry Agencies (CFAA, SEPA, FIC ) or Publication Agencies and Press for firm seminar and speech opportunities
- Coordinate with D.C. Marketing Manager for China marketing development projects, Chinese website design, brochures etc.
Information Systems:
- Ensure the IT equipment and network is functioning properly by interfacing with the IT Support team in Washington, DC as well as local IT vendors
- Be proficient with the AV equipment in the conference room
REQUIREMENTS:
- At least 5 years of experience as Office Manager with professional service firm(s), preferably an international law firm
- Good command of oral and written English
- Excellent communication skills
- Good problem solving abilities;efficient;quick thinking
